Should I send a retirement statement before an introductory meeting?
Ask what information is needed for this stage before sending a full statement. Then independently verify the recipient and the transfer method. A useful conversation about your priorities does not automatically require every identifier on an account document. The firm must confirm what it needs; later planning, account opening or transfers can require additional information.
This checklist helps organize that decision, whether you are arranging a conversation locally in Temecula or meeting virtually. It is a practical planning aid, not a guarantee against fraud or a description of a particular firm’s technology.
1. Agree on the purpose before choosing the document
Start with a specific question: “What do you need to see for our introductory conversation, and what can wait?” Ask which document, statement period and fields are useful. A rough overview may be enough for an initial discussion, but do not assume it meets the firm’s requirements. If a full record is necessary, ask why and how it should be transferred.
2. Verify the person and the message separately
A familiar logo or the name of a registered professional does not authenticate an incoming message. The SEC warns that impersonators can copy real firms’ websites and identities. Check the professional through Investor.gov, then verify the request through contact information you obtained independently. Where a firm provides Form CRS, the genuine regulator-hosted document can help identify its contact details. Ask which disclosures apply to the firm.
If an unexpected message asks for a statement, do not rely only on its reply address, telephone number or upload link. Contact the firm using a number or website you already know is genuine. Confirm who requested the document and where it should go before following the message’s instructions.

3. Ask whether a limited sharing copy is acceptable
Keep your original statement unchanged. Ask: “Will a separate copy with unnecessary identifiers removed work for this stage? Which fields do you need?” Do not assume that leaving only the last four account digits is always sufficient or that every recipient accepts redacted documents. Agree on what can be omitted before preparing the copy.
If you are unsure how to remove information safely from a digital file, ask for an accepted alternative or qualified help. Do not assume a visible black box has removed underlying information. Even a copy without an account number can reveal private balances, holdings and household details. Treat the remaining document as sensitive.
The FTC’s business guidance recommends limiting unnecessary personal information and protecting its transmission. Applying that principle here means asking what is actually needed, rather than sending a folder of unrelated records. This is a practical application of that guidance, not a rule requiring consumers to redact every statement.

4. Confirm the channel and check the actual file
Ask the firm to explain its approved secure-sharing method and how you can independently verify the destination. Avoid sending sensitive records through ordinary unencrypted email or a general contact form. A page that merely looks professional is not enough. If the address or instructions differ from what you confirmed, pause and ask again.
Open the exact copy you intend to send. Check its date, pages and contents against the request. Do not include passwords, sign-in codes or unrelated records. After an authorized transfer, ask the verified recipient to confirm receipt without repeating account details in an ordinary email.
Five checks before sending, one follow-up afterward
Keep these notes privately. They are a checklist for your own decision, not fields to submit on this website.
- Recipient and independently verified contact: ______
- Document and statement period requested: ______
- Required fields and permitted omissions agreed: ______
- Exact sharing copy checked: ______
- Approved destination independently confirmed: ______
- After sending: receipt confirmed, or follow-up needed: ______
If any of the first five answers is missing, pause and clarify it before sending. Confirm receipt only after an authorized transfer. These steps reduce avoidable disclosure; they cannot establish that every request is legitimate or eliminate fraud risk.
Keep preparation separate from transmission
You can gather questions and locate records before deciding what to send. For the broader meeting agenda, use our first-conversation checklist. Before establishing an advisory relationship, confirm the services available and whether the firm can serve you in your state.
